The statement of intent is prepared in two steps

2. Prepare Supporting Documentation

 

Prepare formal letter

The formal letter of intent is issued by the PMO sponsor on corporate letter head, and is signed by both the sponsor and the future PMO manager.

           RE:      Letter of Intent to Create a Project Management Office

To whom it may concern:

After reviewing the PMO Business Case dated May 11, 2006 prepared by Yolanda Salzburg, we have decided to initiate a Project Management Office (PMO) for the Gulf Offshore Engineering Company. The PMO will be tasked with improving the effectiveness and efficiency of project management throughout the company, supporting project managers, increasing the frequency with which projects successfully deliver acceptable results on time and within budget, and reducing project costs and schedules.

Specifically, the PMO will be tasked with solving these problems, among others:

Poorly defined project scope, which currently causes failure or delay for 50% of all projects.

Lack of a standardized risk system, which currently causes delays and cost overruns in 40% of all projects.

Lack of standard safety procedures on engineering construction projects and proper audit of those safety procedures, which has caused worker injury, increased insurance costs, made us liable for penalties to OSHA (the US government Occupational and Safety Administration), and created delays and cost overruns

Rolando Juarez, President of Gulf Offshore Engineering, with be the Executive Sponsor of the PMO. Yolanda Salzburg will be the PMO Manager. These positions are effective June 1, 2007.

We expect to release a draft charter for the PMO in the month of August 2007.
