The evaluation of these sources and definition of project management template database content requirements is done in these three steps:

1.      Perform structured data analysis on the processes adopted by the Project Manager.

2.      Perform data flow diagramming on existing systems.

3.      From these two systems, build a comprehensive data dictionary, defining the content and structure of each data element.

There is one point to clarify about step #3. The structure of a data element is a description of what the data looks like and how it is manipulated. Classically, databases hold numerical data (which can be added, subtracted, and have other mathematical functions applied), date and time data, and text data. Other data types exist as well. Newer databases can contain other, larger data structures such as formatted documents and graphics. The inclusion of these larger elements moves the database closer to becoming a knowledge base. Knowledge Bases are discussed in the next section, Adopt Knowledge Base.

Here is an example of a partial list of content requirements, a partial data dictionary for timesheet data related to project tasks:
