A sample list of customers is provided for each service on the project management life cycle page for that specific service.

Identify Other Stakeholders

Stakeholders who are not customers are in some way involved in the service, but are not the direct recipients of the service. For example, in the Report Status Service, the executives and project stakeholders receiving the reports are the customers. The project managers and teams who provide information to go into the reports are stakeholders. Other stakeholders are crucial to the process, but they are not recipients of the service. In general, other stakeholders do these five things:

  • provide input to the service
  • provide part of the service (but don't work for the PMO)
  • approve use of the service
  • provide support for the service
  • benefit from the service indirectly

The process of identifying other stakeholder groups is similar to the process of identifying customers. Follow these five steps to complete the list of other stakeholders for each service:

1.      Identify groups of stakeholders. Each groups of stakeholders can be identified by what they provide to, or receive from, the service. Identify the jobs or roles within the organization that have a particular stakeholder relationship to the service.

2.      Name each stakeholder group. Put that name in the first column.

3.      Identify the stakeholder role. Using the list of five possible roles above, identify how this stakeholder group relates to the service. Be specific. For example, don't just say, "provides input," say "provides up-to-date project status information weekly." Put this information in the second column.

4.      Prepare a list of stakeholders in that group including the project manager . The list should include people's names, job title, department, and contact information. Put the name of the file containing that list in column three of the table. Be sure to include both people currently involved with the service and also potential stakeholders who might work with the service at some time.

5.      Keep the stakeholder list up to date. Record the date the list of stakeholders was last updated in column four.
